Minutes of the Operations Management Task Group Held on 3 March 05, 2pm to 3.30pm Chalk Suite Room 5, University of Westminster Present: Catherine Phillpotts (acted as chair), Roddie Shepherd, Martin Carbonell, Babs Viejo, Rose Coughlan, Caroline Fletcher & Sasha Poulter (administrator) 1. Apologies Apologies had been received from Zoë Smith, Susan Gilbert & Carole Pickaver. Carole did leave a message with someone at King's College London to cancel due to bad weather conditions but as we had 6 members and administrator we thought we could go ahead and Cathy Philpotts agreed to act as chair for the meeting. 2. Minutes of the last meeting – 12th October 2004 The minutes were accepted as an accurate record 3. Matters arising - None 4. Programme 2004/2005 Seminars • Bidding for Project Funding – Babs Viejo & Cathy Phillpotts This event took place on the 29th November 2004 at the Clore Management Centre, Birkbeck College. This was a well attended seminar, bookings were made by both academic & public library staff which Caroline spotted and highlighted to the organisers and as a result of this they tried to incorporate this to make it more relevant to those in public libraries. This good mux of people highlighted areas for growth in funding and so the seminar was good for creating contacts. The speakers were good and the feedback was good – only one said that it was directed too much at academic libraries. Proposal to run this again in a few years. Cathy will do a report and send on to administrator. • Costing (x3 days) Sue S & Susan Gilbert This event was fully booked and spanned across three days (19 Nov 04, 12 Jan & 2 Feb 05) Larraine Cooper has done a detailed report about how it was received and improvements that could be made. Please see attached. • Overhauling Efficiency & Effectiveness – Carole & Zoë This event is still in the planning stages. • Managing Self Service – Fiona Middleton & Eilis Rafferty (Tsk Grp 5) This event took place at the London College of Communication on the 7th February 2005. It was fully booked with 30 delegates and it was well received. The selection of speakers were a good mix and feedback by someone after the event said that he thought it “was the most useful ½ day seminar he had been to.�? Maybe we could have added about the equipment used? • Project Management – Rosarie This seminar will run on 27 May 05 as a rerun from last year. Rose has yet to finalise the programme and speakers. The event will take place in the LSE library and will run all day. Rose was having trouble with speakers, and so Babs suggested Maureen Wade and Roddie suggested that he may know someone that may be able to do a case study example on implementing a new library system. Rose asked for a event checklist to be recirculated to the members of the group. Sasha to do this. • Space Management – Martin & Roddie This seminar is still in the development stages, it will be held at Anglia Polytechnic University (Chelmsford Site). No date has been arranged yet but is thought to take place at end of June. This seminar is going to look at dealing with new Building/snags with the building and relationship with estates & facilities team. Babs is to approach Anne Poulson to speak & possibly ask her husband to also as he works in Estates & management. Cathy offered to talk about research library project “When things don’t go to plan�? Next academic year suggestion to do a course on “ best use of current space�? – especially looking at restraints e.g listed buildings, limited budget, adapting for people with special needs/ disability Breakfast Briefing • Research Assessment Exercise. Carole will investigate this as a possible Breakfast Briefing theme. Visits • Natural History Museum – • Royal Library Windsor – For both of these visits Sasha has given the information I had back to Carole to make the initial contact 5 Issues for 05/06 It was thought we should talk about this in CPD25 review meeting when we have the results from the Training Needs Questionnaires. 6 Any other business None 7 Date of next meeting July was suggested as the next meeting date - Sasha to liaise with Carole on this.
