Notes from the meeting held at King's College, Maughan Library

Matters Arising:

IT Staff Training

Jean was able to update the group on the progress that had been made with LMN. Jean and Caroline had a meeting on the 27th November with Nick and Mahmood from LMN. They are very happy with the arrangements that CPD25 uses and are content to fit into our framework. Jean offered LMN a place on the Steering Group so they will be able to contribute their ideas and get a feel for how CPD25 operates. The LMN hope to run three or four events this year for which Caroline will do all the administration. It is hoped that next year, 2003/2004, some joint events will be run. Caroline will keep separate accounts for the LMN events. The group felt that this would be a very fruitful relationship and both groups had much to gain from the arrangement.

Reports from the Task Group Chairs:.

Task Group 1 - David Gee

David was pleased to report that Task Group 1 had held two events already, “Chartership: What’s it all about�? from the Route A Chartership programme and “Library and Information Courses: Applying to Study LIS�? from the Career development programme. Both events were very well attended and the feedback had been very positive. Unfortunately “Enriching your graduate trainee year�? had been postponed due to industrial action. It has been rescheduled for January. Career Pathways, an event aimed at non-graduate library staff is planned for the New Year. Lastly, the Staff Development Officer’s day is taking shape with Cathy Parr arranging the speakers in the morning and the afternoon being devoted to the CPD25 review. Group 1 has two visits arranged, Imperial College on the 3rd and 18th February and the Institute of Mechanical Engineers on the 3rd and 15th of July. David also reported that Sarah Elsegood has a new post at UEA and will be leaving the group in the New Year leaving an opening. The group felt that it would be useful if a recruit could be found from ULL.

Task Group 2 - Christine Muller

Christine reported that Employment Law had 16 delegates confirmed and would be held at Woburn House on 17th December 2002. The first Disability Discrimination Act Seminar would be held on the 11th December 2002 at South Bank University and the second would be run in Guildford in May.

Disaster Planning would be run in the New Year and Christine Wise had agreed to speak at the event. The Treasury Visit had been very successful; all the delegates had thought it was very valuable. The Copyright and Legal Research Skills seminars were both coming up towards the end of the academic year and were well in hand.

Christine felt that although the events the task group were holding were very valuable there was a good deal of overlap into other group’s areas that offered scope for collaborative events. It was suggested that perhaps only some of the core events would remain to this task group, such as copyright law and that the structure of the groups would alter to accommodate these overlap areas. The group agreed that the group’s structures should be added to the next steering group agenda. Christine also pointed out that as the area the group covered was legally sensitive it was important that the information provided was very accurate and up to date. To ensure this level of accuracy the group often brings in outside specialists and training companies. This often proves expensive.

Task Group 3 - Maureen Wade

Maureen reported that Space Planning had been very successful with a really enthusiastic level of input from the audience. There was some very useful exchange of ideas and the feeling was very positive. The group discussed the possibility of recording the ideas and issues raised in future seminars. It was agreed that this would be very useful and would probably be best achieved by a facilitator leading the discussion and gleaning the most important points for a note taker. The Peckham Library visits had gone very well. Caroline had taken the first visit and Fiona Middleton had led the second. The Project Management seminar will take place on the 13th January 2003. Communications Management will be confirmed shortly.

Task Group 4 - Judith Cattermole

Judith was pleased to report that the latest seminar, “Changing the Culture�? went very well. There was a lot of useful discussion and points raised which Caroline wrote up as a report and circulated to the delegates. The Managing Skills 3 day event is oversubscribed and very popular, this had sparked some discussion within task group 4 about running it again next year. Also the group wanted to run a Senior Management Skills seminar. A programme had already been proposed. The group thought that some market research could be done on this at the SDO’s day in April. The Training for Trainers seminar to be held on the 26th February has strong bookings and looks set to be another success. The Managing Attendance Seminar booked for the 4th April will be held at the Slough Campus of Thames Valley University. The Time Management Seminar will be held at Senate House in June. This should be applicable to most levels of library staff. The visit to the Guardian will be a small group of 10 delegates. Task Group 4 hopes to repeat this visit next year. The visit to the Imperial War Museum will be in May. The initial proposed date is the 21st May. It is hoped that we will be able to arrange a second date as well.

Judith reported that Task Group 4 had discussed her recent visit to Serbia with the Tempest Project. http://www.ilrs.mdx.ac.uk/tempus/index.htm From this the group thought that CPD25 might like to offer a bursary to Staff Development projects in East European universities. The group decided to make this an item for the next agenda so some research could be done about how to go about organising and administering the bursary.

Task Group 5 - Janet Smith

Janet reported that Managing E-Resources had been fully booked in the first two days after it was offered prompting a search for a bigger venue. The 24/7 Seminar on the 24th January may need a back up speaker as Sam Martin is expecting twins around this time. The New Approaches to Information Services Training Seminar in February already has 69 delegates booked. The Managing Enquiry Services seminar needs a speaker on Converged Services. The group offered suggestions for speakers from the Bolton Institute and Sheffield Hallam. Developing a Library Portal is almost finalised. Topics will include, copyright issues and JISC. Janet has 3 speakers already..

Oversubscribed Events - Janet Smith:

Janet highlighted the problems that large institutions have trying to secure bookings. To prevent these problems it was agreed that provisional bookings would be accepted and held for 7 working days.

Certificates for Chartership Candidates - David Gee:

David proposed that Chartership candidates should receive a certificate on completion of the Chartership programme. The group felt that there should be a minimum attendance requirement to qualify for the certificate.

Database of Rooms & Speakers - David Gee:

David reported that Task Group 1 had discussed the usefulness of having a database of suitable rooms and records of previous speakers. Caroline would need to develop this. Caroline suggested an Access database that could be updated and edited easily.

Financial Arrangements:

CPD25’s banking arrangements have almost been completed. Paying in books and chequebooks should arrive shortly. It is unlikely that charitable status will be achieved this year so CPD25 will be liable for corporation tax.

Jean raised the issue of event pricing. It was agreed by the group not to alter the costing scale at this time, as it is still to early to project the likely income that will be generated. It was also agreed that costs could increase as more and more institutions charge for room hire. The group agreed that a surplus could be put to good use subsidizing expensive one off events. The Financial Statement for presentation to the M25 will be included on the next Agenda.

M25/CPD25 Celebrations:

The M25 Ten Year Anniversary & CPD25 Launch event will take place on the 27th February 2003 in the Western Room at King’s College, Maughan Library, 5-7.30pm. CPD25 Task Group members will be invited.

Administrators Report:

Caroline raised the additions to the "organising an event guidelines". Mainly these relate to providing speakers with the clearest possible instructions and information. The group also felt it would be useful to ask if there are any special requests. For example, disabled access or dietary requirements.
